Frequently Asked Questions
RobinMail supports .eml, .emf, and .mbox files. You can also drag emails directly from Apple Mail or import Outlook exports.
No. RobinMail processes everything locally on your Mac. No data is uploaded, transmitted, or shared with any server or third party. See our Privacy Policy for details.
The free version lets you import up to 25 email files per batch and export up to 25 contacts at a time. Contact data is not saved between sessions. All features work in both versions. Pro ($12.99, one-time purchase) removes all limits and automatically saves your contacts between sessions.
RobinMail compares contacts using multiple criteria — email address, name similarity, and domain. It groups potential duplicates by confidence level (High, Medium, Low) so you can review and merge them with a single click.
You can export as CSV (for spreadsheets and CRMs), VCard (for address books — Pro only), or copy directly to your clipboard.
RobinMail requires macOS 14.0 (Sonoma) or later.
RobinMail is sold through the Mac App Store. Refunds are handled by Apple. You can request a refund at reportaproblem.apple.com.
No. RobinMail works with exported email files only. It never connects to any mail server or cloud service. Export .eml or .mbox files from your email client first — in Apple Mail, use File → Save As or right-click a mailbox and choose Export Mailbox.
Free: Contact data exists only in memory. Always export before quitting — closing the app clears imported data. Pro: Contacts are automatically saved and restored when you relaunch. Edits, tags, and merges are all preserved. Settings, company mappings, and hidden items persist in both versions.
Yes. On re-import, contacts with the same email address are merged, not duplicated. If the new import has higher-confidence data, those fields are updated automatically.
Select the unwanted contact, then click Hide Email or Hide Domain in the detail panel. For bulk exclusion, select multiple contacts and click Hide Selected. Hidden items are remembered for future imports. You can also add wildcard patterns (e.g., *@newsletter.example.com) in the Hidden Items manager.
Use Settings → Domain Aliases to map the old domain to the new one. This converts email addresses during import and automatically merges contacts that end up with the same address after conversion.
LinkedIn URLs are matched to contacts by comparing the URL slug with the contact's name or email. If the LinkedIn URL slug doesn't resemble the person's name, it won't be associated. URLs containing /company/ are also skipped.
